What is a technical visit to a Venue?

What is a technical visit to a Venue? If you are looking for a place to celebrate your wedding, this will be very useful.

I am going to explain what it consists of, as well as give you some tips that I do as a Wedding Planner in these visits.

Undoubtedly the choice of your Wedding Venue is the secret of success, because it is where you will enjoy the food and the party with your family and friends, and 80% of couples are clear that what they want is that their guests eat well and drink beautifully..

Therefore, 60% of your budget will be destined to this item, and its search is the most tedious and time-consuming, unless you have it clear beforehand because you were in a previous wedding there, or because you already had it in mind for its characteristics.

Be that as it may, I am going to give you some key questions that we Wedding Planners usually ask (because we have that experience) that you should ask when you go to visit the Finca, Hotel or restaurant where you want to celebrate your Wedding.

  1. WHAT IS A TECHNICAL VISIT TO A FINCA OR VENUE?

It is the visit that is made to the Finca to be able to visualize more easily the development of the Wedding: to be able to make a composition of how and where the Decoration will be placed, the Food and Beverage Corner, where the Dance will be, the location of the DJ and Band, and if the Ceremony will also be celebrated there, to see where the Altar and the aisle will be, etc.

At Pamela Events we make this visit when our couples have decided between the 3-5 options that fit their characteristics and budget, so we can prepare for the Organization and Decoration and anticipate any situation.

But if you do not have a Wedding Planner for the Wedding Organization, here are some of the questions that we ask in these visits, and that you can ask in the first visit and that will help you to make the final decision.

2. QUESTIONS DURING THE TECHNICAL VISIT TO THE VENUE

  • What is Plan B in case of bad weather? Especially when you want to celebrate outdoors, you must have a covered place where you can attend all your guests under the same conditions.
  • The salesperson who shows you the venue will assist you on the day of the wedding. Because if you have any questions or problems you must have located the person who told you the features, you lose a lot of time if you have to try to reach her by phone or the person who assists you that day is not aware of everything you were told.
  • Where does the sun set and what time is it? Although it may seem a strange question, it is important especially if you are going to celebrate the Ceremony there, as it can hit you directly in the face during the ceremony, and it will be very annoying. It is also important for the photos, since in the Golden Hour (that is how it is called at the moment of the sunset) the light is spectacular for the photos.
  • Visit the Venue when it is set up. You may have to come on another day when they are celebrating a wedding (hours before so as not to disturb), but it is important to get an accurate idea of how it will look on the day of the wedding.
  • If the set up material: tables, chairs, table linen, floral arrangements,... are from the Finca or not. If it is rented, you should take it into account for the budget.
  • The price of assembly and disassembly is included in the price. It may have an extra charge that increases the budget.
  • Exclusive suppliers: Catering; DJ; Florist;… Many Fincas and Venues have agreements with suppliers and recommend them, but if they are exclusive they may not be at the level of professionalism or style that you need.
  • Power of Light. If you are going to bring musicians, or extra decoration with lights, or some extra catering, you have to take into account if the power they have will arrive, since acquiring a Generator will be an extra expense, besides the problem of solving it the same day of the Wedding.
  • Agreements with bus companies. Since they can help you in the search and in the budget..
  • Canon or extra expenses. If you are going to bring a DJ or Musicians, you must take into account if they will include the extra cost of the Canon.

I hope these Wedding Planner tips have been of great help.
